To accept your tenancy agreement, both you and your guarantor need to sign the tenancy agreement online. In addition you both need to provide 2 forms of ID.
We understand damages can happen, please report all damages and maintenance through the StudentFM App. If the damage is due to misuse of the room, outlined in your tenancy agreement, you may be liable to pay for the repairs.
1. General Cancellation Rights
1.1 Standard Cancellation Period
· A Student/Tenant can cancel their tenancy agreement within 14 days of signing the contract and paying the deposit.
· Cancellation requests must be submitted in writing and received within the 14-day cooling-off period.
1.2 Post-Tenancy Start Date
· If the tenancy start date has passed, cancellations are not permitted, even if the request is within the 14-day cooling-off period.
· However, the Student/Tenant may arrange for a Tenancy Takeover, as detailed in Section 2.
2. Tenancy Takeover
2.1 Arranging a Tenancy Takeover
· A Student/Tenant who wishes to cancel their agreement after the tenancy start date may find a suitable replacement to take over the tenancy.
· The replacement tenant must meet all eligibility criteria and be approved by StudentFM.
2.2 Administration Fee
· A £50 administration fee will be charged for processing a Tenancy Takeover.
· The original tenant will be released from their agreement only after the new tenant has signed the contract and paid any required fees or deposits.
3. First-Year Undergraduate Students
3.1 Cancellation Outside of the 14-Day Period
· First-year undergraduate students may cancel their tenancy outside the 14-day cooling-off period, provided they:
o Notify StudentFM in writing within 7 days of receiving their A-Level results or international equivalent.
o Provide evidence, such as a copy of their official results, showing that they have not met the conditions of their course offer.
4. International Students Requiring a Visa
4.1 Visa Rejection
· International students who require a visa may cancel their tenancy outside the 14-day cooling-off period if their visa application is rejected.
· The following conditions apply:
o Cancellation must be requested in writing within 7 days of receiving the visa rejection notice.
o Evidence of the visa rejection must be provided, such as an official letter or email from the relevant authorities.
5. Course Rejections
5.1 Course Rejection After Tenancy Start
· Students whose course applications are rejected after the tenancy start date may cancel their tenancy under the following conditions:
o Notify StudentFM in writing within 7 days of receiving the rejection notification.
o Provide evidence, such as an official rejection letter from the institution.
6. Refunds
6.1 Deposit Refunds
· For cancellations approved within the 14-day cooling-off period or under the exceptions outlined above, the deposit will be refunded in full, minus any applicable charges such as the £50 administration fee for Tenancy Takeovers.
6.2 No Refunds After Tenancy Start
· If the tenancy has started and the cancellation does not meet the conditions of this policy, no refund will be issued.
7. Evidence Requirements
All cancellations must include appropriate evidence to support the request, such as:
· Official letters or emails from universities, colleges, or visa authorities.
· Copies of rejection notices or other relevant documents.

All our tenants will be required to provide a guarantor if they choose to pay in instalments rather than their full rent upfront. This is common practice for UK landlords and simply means that there is someone who agrees to pay the rent if the student is unable to do so.
A guarantor will be responsible for putting right any breaches of tenancy, including non-payment of rent if the tenant fails in their responsibilities.
The guarantor should be a parent, guardian, relative or family friend of the student. The guarantor should be in full-time employment, and/or in a stable financial position to cover relevant payments as required. We will not run a credit check as part of the process of assessing guarantors.
The guarantor will need to sign a Guarantor Agreement, which will be sent to them by email. The guarantor will need to provide two of the following documents as proof of ID*:
