Frequently Asked Questions About Booking Terms

To accept your tenancy agreement, both you and your guarantor need to sign the tenancy agreement online. In addition you both need to provide 2 forms of ID.

We understand damages can happen, please report all damages and maintenance through the StudentFM App. If the damage is due to misuse of the room, outlined in your tenancy agreement, you may be liable to pay for the repairs.

1. General Cancellation Rights

1.1 Standard Cancellation Period

·       A Student/Tenant can cancel their tenancy agreement within 14 days of signing the contract and paying the deposit.

·       Cancellation requests must be submitted in writing and received within the 14-day cooling-off period.

1.2 Post-Tenancy Start Date

·       If the tenancy start date has passed, cancellations are not permitted, even if the request is within the 14-day cooling-off period.

·       However, the Student/Tenant may arrange for a Tenancy Takeover, as detailed in Section 2.

2. Tenancy Takeover

2.1 Arranging a Tenancy Takeover

·       A Student/Tenant who wishes to cancel their agreement after the tenancy start date may find a suitable replacement to take over the tenancy.

·       The replacement tenant must meet all eligibility criteria and be approved by StudentFM.

2.2 Administration Fee

·       A £50 administration fee will be charged for processing a Tenancy Takeover.

·       The original tenant will be released from their agreement only after the new tenant has signed the contract and paid any required fees or deposits.

3. First-Year Undergraduate Students

3.1 Cancellation Outside of the 14-Day Period

·       First-year undergraduate students may cancel their tenancy outside the 14-day cooling-off period, provided they:

o   Notify StudentFM in writing within 7 days of receiving their A-Level results or international equivalent.

o   Provide evidence, such as a copy of their official results, showing that they have not met the conditions of their course offer.

4. International Students Requiring a Visa

4.1 Visa Rejection

·       International students who require a visa may cancel their tenancy outside the 14-day cooling-off period if their visa application is rejected.

·       The following conditions apply:

o   Cancellation must be requested in writing within 7 days of receiving the visa rejection notice.

o   Evidence of the visa rejection must be provided, such as an official letter or email from the relevant authorities.

5. Course Rejections

5.1 Course Rejection After Tenancy Start

·       Students whose course applications are rejected after the tenancy start date may cancel their tenancy under the following conditions:

o   Notify StudentFM in writing within 7 days of receiving the rejection notification.

o   Provide evidence, such as an official rejection letter from the institution.

6. Refunds

6.1 Deposit Refunds

·       For cancellations approved within the 14-day cooling-off period or under the exceptions outlined above, the deposit will be refunded in full, minus any applicable charges such as the £50 administration fee for Tenancy Takeovers.

6.2 No Refunds After Tenancy Start

·       If the tenancy has started and the cancellation does not meet the conditions of this policy, no refund will be issued.

7. Evidence Requirements

All cancellations must include appropriate evidence to support the request, such as:

·       Official letters or emails from universities, colleges, or visa authorities.

·       Copies of rejection notices or other relevant documents.

All our tenants will be required to provide a guarantor if they choose to pay in instalments rather than their full rent upfront. This is common practice for UK landlords and simply means that there is someone who agrees to pay the rent if the student is unable to do so.

A guarantor will be responsible for putting right any breaches of tenancy, including non-payment of rent if the tenant fails in their responsibilities.

The guarantor should be a parent, guardian, relative or family friend of the student. The guarantor should be in full-time employment, and/or in a stable financial position to cover relevant payments as required. We will not run a credit check as part of the process of assessing guarantors.

The guarantor will need to sign a Guarantor Agreement, which will be sent to them by email. The guarantor will need to provide two of the following documents as proof of ID*:

  • Valid passport
  • Valid driving license
  • Utility bill dated within last 3 months

We work with guarantor service provider YourGuarantor. They can act as a UK Rent Guarantor for students attending UK Universities. Visit their website https://www.yourguarantor.com/ for more information.

 

£100 Refer a Friend

Existing tenants can refer friends to studentFM and receive a reward of £100. To qualify:
  • Tenants must provide proof of the referral by contacting each individual site team.
  • The £100 reward will be issued one month after the referred tenant checks in.
  • The referral will only be issued if the tenant is not in arrears.
 

Reebooking Offer

1. Eligibility

  • This promotion is available exclusively to current tenants who rebook their accommodation for a minimum tenancy length of 44 weeks for the upcoming year.
  • Tenants must not be in rent arrears at the time of rebooking or at the time of claiming the  promotional benefits.
  • Only direct bookings are eligible. Bookings made through third parties or agents do not qualify.

2. Free Laundry Wash Voucher

  • Eligible tenants will receive a complimentary laundry wash voucher to the value of £200.
  • The voucher must be requested by the tenant within the first month of the new tenancy.
  • For dual tenancies, only one £100 voucher will be issued per tenancy, not per tenant.
  • Vouchers are non-transferable, non-exchangeable, and no cash alternative will be provided.

3. How to Claim

  • Tenants must proactively request their laundry voucher following rebooking confirmation.
  • All promotional benefits must be requested within the first month of the new tenancy.

4. General Conditions

  • This promotion cannot be used in
    conjunction with any other promotional offer unless explicitly stated.
  • Management reserves the right to withdraw, amend, or substitute this promotion at any time without prior notice.
  • By participating in this promotion, tenants agree to be bound by these terms and conditions.

    • Have no outstanding rent arrears.
    • Sign a tenancy agreement for a minimum tenancy length of 45 weeks.
    • Book directly with StudentFM (not via an external agent).
  3. Incentives are non-transferable, non-exchangeable, and have no cash alternative unless     specifically advertised as cashback.
  4. Incentives are issued on the contract start date.
  5. StudentFM reserves the right to:
    • Substitute incentives with items of equal or greater value.
    • Withdraw or amend this promotion at any time.
  6. Participation constitutes acceptance of these Terms & Conditions.

Refer-a-Friend Cashback

  1. Both the referrer and the new resident will receive £50 cashback once the new booking is    confirmed, the tenancy agreement signed, and the tenancy has started.
  2. There is no cap on the number of referrals a resident may make.
  3. The referral must be declared at the time of booking.

Tech Bundle Prize Draw

  1. All rebookers and new lets will be entered into a draw for a £1,000 Tech Bundle.
  2. There is one prize only across all StudentFM schemes (i.e., not one per building).
  3. Suggested bundle (approx. value £1,000):
    • iPad (10th Gen) – ~£500
    • AirPods Pro – ~£250
    • Samsung 34” UltraWide Monitor – ~£200–£250
    • Amazon Echo or Smart Speaker – ~£50
  4. The draw will take place on 1st December 2026.
  5. The winner will be selected at random and notified by email.

Rent-Free Incentive 

  1. StudentFM is offering a rent-free incentive to new tenants at Minerva House.

Eligible applicants may receive:

• 2 weeks’ rent free on a 6-month tenancy, or

• 4 weeks’ rent free on a 51-week tenancy or longer.

2. To qualify for the rent-free period, applicants must:

• Sign a new Assured Shorthold Tenancy (AST) agreement with StudentFM for Minerva.

• Commit to the full term of the tenancy they select (6 months or 51+ weeks).

• Meet all standard referencing, affordability, and compliance requirements.

• Not have held or currently hold an active tenancy in Minerva for the same period (new tenants only).

3. Application of Rent-Free Period

• The rent-free period will be applied at the end of the tenancy term.

• The final 2 or 4 weeks of the tenancy will be charged at £0.00 rent.

• Rent must be paid in full and on time up until the rent-free weeks.

• If a tenant chooses to vacate early or ends the tenancy before the full term, the rent-free incentive is void and no discount will be applied.

4. Tenancy Agreement

• The incentive will be confirmed in writing and issued as an addendum to the tenant’s AST.

• All other terms of the tenancy agreement remain unchanged.

5. Offer Period

• This incentive is valid for all new tenancies signed on or before 31st December 2025.

• Move-in date must occur within the standard timeframe agreed with StudentFM.

6. Non-Transferable

• The incentive cannot be exchanged for cash or applied to other buildings.

• It is non-transferable between tenants.

7. Cancellation or Amendment

• StudentFM reserves the right to amend or withdraw the incentive at any time.

• Any tenancy already agreed prior to a change will still receive the rent-free period stated in their signed terms.

8. Marketing Disclosure

• Any use of “Up to 4 Weeks Rent Free” in marketing materials refers to these specific tenancy lengths

and terms.

• Tenants will be advised of the exact entitlement during the booking process.

Cashback Offer

  1. Cashback applies to the first 100 rebookers only.
    • First 25 rebookers: £200 each.
    • Next 25 rebookers: £150 each.
    • Next 25 rebookers: £100 each.
    • Final 25 rebookers: £50 each.
  2. Maximum cashback cost exposure: £12,500.
  3. Cashback will be paid via the method agreed with StudentFM on contract start date.
  4. Incentive ends 31st October 2025

Refer-a-Friend Bonus

New Tenants

Fill Your Fridge

  1. Available to 4- and 5-bed cluster bookings only.
  2. StudentFM will contribute £20 per bed towards grocery supplies.
  3. Allocation is unlimited; however, StudentFM may review budget if demand is exceptionally high.
  4. Budgeted example: £500 allocation = 25 beds (~5 clusters).

Prize Draw

  1. All new lets will also be entered into the £1,000 Tech Bundle Draw (shared with rebookers).
  2. Same conditions as listed above under “Rebooker Prize Draw”.
Student FM – RedNote Campaign
1. Create a post on Rednote showing off your StudentFM room!

2. Content & Photo Requirements

  • Photo posts preferred; video posts accepted.

  • Include 150–300 words.

  • Must naturally mention “Student FM” + the residence name.

  • Content must be original and based on real experience.

  • Use relevant tags: Student FM, Building name, UK, Studying in the UK, Renting accommodation in the UK.

  • Include at least 3 real photos; first image preferably a 3:4 room photo.

  • Photos must be taken by the resident; no web images.

  • Images must be clear and tidy; no sensitive or inappropriate content.

  • No identifiable private information of other residents.

 

3. Quality & Safety Rules

Posts must not include:

  • False or exaggerated claims

  • Sensitive or controversial topics

  • Obvious advertising-style words

  • Pricing and contact

Student FM may reject posts that do not meet standards.

4. Rewards

  • 0–100 followers: £15

  • 100–500 followers: £20-25

  • 500+ followers: £30

Bonus

  • 50+ engagements (likes/saves): +£5

  • 100+ engagements likes/saves: +£10

Rewards will be given as gift card vouchers for Amazon.

5. Eligibility

  • Must be a current resident.

  • The post must be new and fully original.

6. Submission Process

Provide:

  2. Screenshot after publishing

Review within 3–5 working days; reward issued within 14 working days after approval.

7. Post Maintenance

  • Post must remain public for 12 months.

  • Cannot be deleted or set to private.

  • Notify Student FM bookings@studentfm.co.uk, if any harmful comments appear.

8. Disqualification

Posts may be rejected if requirements are not met or if content harms brand image.
