Frequently Asked Questions About Checking Out

 

As your tenancy draws to a close, it’s important to be prepared so your check-out process is smooth, stress-free, and doesn’t result in unexpected charges. Here’s everything you need to know.

You can check out at any time before the end of your tenancy agreement, but your contract will continue to run until the official end date. Even if you choose to vacate your room early, you are still responsible for rent payments for the full tenancy duration as outlined in your agreement.

We recommend checking out no later than 12 noon on your final day to ensure there’s time to return your keys and complete your room inspection.

To check out, simply follow these steps:

  1. Pack up all your belongings and leave your room clean and tidy.

  2. Dispose of all rubbish and take unwanted items to designated recycling points.

  3. Return your keys to reception or the key return box — details will be provided in your check-out email.

  4. Complete a check-out form if required (you’ll receive this by email or from your property manager).

If you’ve arranged a room inspection in advance, a team member may accompany you to review the room condition before you leave. Otherwise, we’ll inspect it after you’ve departed.

Anything left in your room after your tenancy ends will be disposed of or donated, and you may incur a removal or disposal fee. Please double-check cupboards, under beds, and communal kitchen storage before you leave.

If you need help transporting your belongings home or to storage, many students use services like UniBaggage, AnyVan, or local courier companies.

To avoid any additional cleaning fees, please ensure the following before checking out:

  • Vacuum and dust your room, including windowsills, skirting boards, and furniture

  • Clean the ensuite bathroom, including toilet, shower, and sink

  • Wipe down all surfaces and remove food from kitchen cupboards if applicable

  • Take out all rubbish and recycling

  • Defrost and clean your fridge/freezer (if it’s in your room)

Failure to clean your room may result in a deduction from your deposit or a cleaning charge.

If your room is returned in good condition and no charges apply, your deposit (if paid) will be returned in full within 10–14 working days of your tenancy ending. Deductions may be made for:

  • Cleaning fees

  • Damage to furniture or walls

  • Missing keys or fobs

  • Outstanding rent or utility charges

A full breakdown of any charges will be emailed to you after your room has been inspected.

In some cases, extension options may be available, particularly if you’re continuing your studies in the same city. Please contact bookings@studentfm.co.uk as early as possible to explore options for:

  • Short-term extensions

  • Summer stays

  • Room swaps or renewals for next year

Availability is limited, so early requests are strongly recommended.

You can leave early, but you’ll remain liable for rent until the official end date of your contract unless you find a replacement tenant approved by StudentFM. Please contact our team to discuss your options if your circumstances change.

We encourage students to donate or recycle items responsibly to reduce waste. Look out for:

  • On-site donation points (check your reception area)

  • British Heart Foundation donation bins

  • Local council recycling centres

Useful items like clothing, kitchenware, or small appliances are especially welcome at local charities.

  • Return all keys/fobs — lost or unreturned keys will incur a replacement fee

  • Clear your room of all personal items and rubbish

  • Take photographs of your room if you want proof of its condition

  • Update your mailing address with banks, uni, and subscription services

  • Say goodbye to your flatmates and leave your details if you’d like to stay in touch!
