Booking FAQs

How do I book my room?
Booking your room with StudentFM is easy. Visit our website, browse our available properties, and choose your preferred location and room type. Once you’ve selected a room, click ‘Book Now’ and follow the on-screen instructions to complete your booking. You’ll need to provide some personal details and confirm your student status. After booking, we’ll send you a tenancy agreement to sign electronically.

How do I book a viewing?
To book a viewing, go to the listing of the property you’re interested in and click ‘Book a Viewing’. Fill in your contact details and preferred time slot, and a member of our team will be in touch to confirm your appointment. We offer both in-person and virtual viewings for your convenience.

How do I book a flat with my friends?
If you and your friends want to live together, that’s no problem. Each person should create an account and complete the booking process, but make sure to indicate the names of the friends you want to live with when asked. We recommend booking early to secure rooms in the same flat, as availability is limited and can’t always be guaranteed.

Booking Terms FAQs

Who can book a room?
StudentFM provides accommodation exclusively for full-time students enrolled at UK universities or colleges. Whether you’re an undergraduate, postgraduate, or international student, you’re eligible to book with us. You’ll need to provide proof of your student status (such as a university acceptance letter or student ID) when booking or checking in.

How do I sign my tenancy agreement?
Once you’ve completed your booking, you’ll receive a tenancy agreement via email. This is a legally binding document that outlines your rental terms, payment schedule, and responsibilities as a tenant. You’ll be able to sign the agreement electronically via a secure platform. If you’re under 18 or require a guarantor, they will also need to sign the agreement before it is complete.

What do I do if I damage something?
If you accidentally damage something in your room or shared spaces, please report it as soon as possible using the maintenance section of the StudentFM App or by contacting your property manager. We understand that accidents happen — in most cases, we’ll assess the damage and either repair or replace the item. Depending on the nature and cause of the damage, you may be charged for repair costs in line with your tenancy agreement.

Checking In FAQs

I don’t have photo ID, what do I do?
Photo ID is required for check-in to verify your identity. Ideally, this should be a valid passport, driver’s licence, or national identity card. If you don’t have one of these, please contact our bookings team in advance at bookings@studentfm.co.uk so we can make alternative arrangements. We may be able to accept a university enrolment letter or another form of ID alongside a recent photo.

Is there parking provided for checking in?
Yes, but to keep things running smoothly on move-in day, parking is available in short 15-minute slots. This allows everyone to unload safely and quickly. Once you’ve booked your check-in appointment, you’ll receive details about where to park and how to access the building. If you need additional time or assistance, please let us know in advance and we’ll do our best to accommodate.

When can I move in?
You can move in any time from the official start date of your tenancy, but you’ll need to book a check-in slot in advance. Around 30 days before your tenancy begins, we’ll email you with full instructions and a link to choose your preferred check-in time. If you need to arrive earlier due to travel arrangements, please contact us and we’ll try to help, subject to availability.

What do I need to bring on the day?
Please bring your photo ID (such as a passport or driving licence), your booking confirmation email, and any outstanding documents we’ve requested. You’ll also want to bring any essentials for your room, like bedding, kitchen supplies, and toiletries. If you’re unsure what’s provided in your flat, check your welcome pack or contact your site team for a full inventory.

Can someone else check in for me?
Yes, but we’ll need written confirmation from you at least 48 hours before your check-in date. The person collecting the keys must bring their own photo ID and a copy of your booking confirmation. Please note: they’ll be responsible for the keys until you arrive, and we can’t accept any liability for loss or damage.

Living With Us FAQs

How do I connect to the internet?
All StudentFM properties come with high-speed internet access included in your rent. On move-in day, you’ll receive a welcome pack with step-by-step instructions for connecting your devices to the Wi-Fi. Most of our buildings are powered by Ask4, a student-specific broadband provider, and you’ll just need to follow the on-screen prompts to create an account and log in. Wired connections are also available via an ethernet port in your room if you prefer.

How do I raise a maintenance ticket if something is broken in my room?
If something isn’t working as it should—whether it’s a dripping tap, broken light, or faulty heating—you can report it directly through the StudentFM App or via the resident portal on our website. Our maintenance team aims to respond quickly to all requests, prioritising urgent issues first (such as water leaks or heating outages). Non-urgent repairs are typically resolved within a few working days.

How do I get a replacement key or fob if I lose mine?
If you lose your key or fob, let your site manager or reception know immediately. For security reasons, we’ll need to deactivate the lost key/fob and issue a new one. There may be a small charge for replacement depending on your site’s policy. In the meantime, our team can help you gain access to your flat—just bring photo ID so we can verify your identity.

What happens if I get locked out of my room?
Don’t panic—we’ve got you covered. During office hours, go straight to your site office and a team member will help you back in. If it’s outside of office hours, contact the Emergency Out of Hours number provided in your welcome pack or displayed in the building. Repeated lockouts may incur a small admin fee, so please try to keep your key/fob safe at all times.

Can I personalise or decorate my room?
You’re welcome to make your space feel like home, as long as any personalisation is temporary and doesn’t cause damage. You can use removable hooks, soft furnishings, posters, photos, and desk accessories. Please avoid using nails, glue, or anything that could leave permanent marks, and remember to return the room to its original condition before you check out to avoid any charges.

 

Am I allowed guests?
Yes, you can have guests stay over occasionally—just be mindful of your flatmates and the terms of your tenancy. Guests should be signed in if your building has security or a reception area, and they must follow all site rules. Extended stays or regular overnight visitors may not be permitted, so it’s always best to speak with your site manager if in doubt.

The StudentFM App FAQs

How do I log in to the StudentFM App?
Once you’ve signed your tenancy agreement, you’ll receive an email with login instructions for the StudentFM App. You can use the email address you registered with us as your username. If you didn’t receive the welcome email or are having trouble logging in, contact your site team and they’ll help get you set up.

How do I download the StudentFM App?
The StudentFM App is available for free on both the Apple App Store and Google Play. Just search for “StudentFM” and look for our official logo. Once downloaded, install the app and follow the login instructions you received after signing your tenancy agreement. The app is designed to work on most smartphones and is updated regularly for the best user experience.

How do I reset my password in the StudentFM App?
If you’ve forgotten your password, open the app and click the “Forgot Password” link on the login screen. Enter the email address associated with your StudentFM account, and we’ll send you a secure link to reset it. Make sure to check your junk or spam folder if the email doesn’t arrive right away. If you’re still having trouble, our support team can manually reset it for you.

What can I use the StudentFM App for?
The StudentFM App is your digital hub for managing life in your accommodation. You can use it to:

Is it mandatory to use the StudentFM App?
While you can still access key services via email or in person, the StudentFM App is the quickest and easiest way to manage your tenancy. We highly recommend using it for tasks like raising maintenance issues, receiving important notifications, and managing your check-in or check-out. It saves time and helps you stay on top of everything.

Parents & Guardians FAQs

I am helping my student move in. Where can I park my car?
When helping your child move in, you’ll be assigned a 15-minute parking slot near the property to unload belongings safely. After this, you’ll be directed to nearby public parking to free up space for other arrivals. Full parking instructions, including maps and local car parks, will be emailed to the student 30 days before their tenancy start date. If you have accessibility needs, please let us know in advance so we can make suitable arrangements.

What support does StudentFM provide the students living with them?
StudentFM offers a wide range of support services to help students thrive both academically and personally. Each building has a friendly site team available for day-to-day help, plus emergency support via our 24/7 out-of-hours number. We also promote wellbeing through partnerships with mental health resources, and students can raise concerns confidentially via our welfare support channels. Maintenance issues can be logged quickly through the StudentFM App, and we regularly check in with students throughout the year.

As a parent, can I stay overnight with my student?
For security and licensing reasons, overnight guests—including parents—are generally not allowed to stay for extended periods. However, short visits (under 24 hours) are permitted as long as your student informs the site team in advance. If you’re planning a longer stay nearby, we can suggest local hotels and accommodations close to the property. We want parents to feel welcome while respecting the shared-living environment students are part of.

Will I be updated on my child’s tenancy or rent status?
Due to data protection laws (GDPR), we can only discuss tenancy details with the student directly unless they’ve provided written consent to share information with a parent or guardian. We encourage students to keep their parents informed, but if you have concerns, we’re happy to advise you generally on policies, procedures, and payment processes.

 

Can I help my child with their rent payments?
Yes. Students can nominate a parent or guardian to make payments on their behalf. During the booking process or anytime afterward, they can add an “alternative payer” to their account. Once set up, you’ll be able to make payments through our secure payment portal. Just note: responsibility for the tenancy remains with the student, regardless of who makes payments.

International Students FAQs

How do I set up a UK bank account?
To open a UK bank account, you’ll typically need your passport, your visa (if applicable), proof of address, and a letter of enrolment from your university. Many banks offer specific accounts for international students, which often come with no monthly fees and easy online banking. Some popular options include HSBC, Lloyds, NatWest, and Barclays. We recommend booking an appointment in advance, either online or at a branch near your accommodation. If you’re unsure where to start, our site team can guide you to local banks and provide a confirmation of your tenancy to support your application.

Can StudentFM store my luggage if I have it delivered ahead of my arrival?
Unfortunately, we cannot accept or store luggage prior to your move-in date due to limited space and security policies. However, there are third-party companies that specialise in student storage and shipping services. Many of them offer secure delivery directly to your room once you’ve arrived. If you need help coordinating delivery times or want advice on reputable providers, our team will be happy to assist.

I’ve moved into my room, what’s next?
Welcome to your new home! After moving in, we recommend familiarising yourself with the StudentFM App, which helps you report maintenance issues, access important documents, and stay up to date with announcements. You’ll also receive a welcome pack with local information, safety contacts, and useful tips for settling into UK student life. Make sure to register with a GP (doctor) in your local area and attend any university orientation events. And don’t worry if you’re feeling overwhelmed—our team is here to help you get settled and support you throughout your tenancy.

Do I need to register with the police when I arrive?
Most international students no longer need to register with the police upon arrival, but this depends on your visa and home country. The UK government removed the requirement for most students in 2022. However, always check your visa conditions or consult the UK Visas and Immigration (UKVI) website. If you’re unsure, your university’s international office or our team can help you clarify what’s needed.

Will I need a TV licence in my room?
Yes, if you plan to watch or stream live television or use BBC iPlayer, you’ll need a TV licence—even if you’re using a laptop, tablet, or phone. This is a legal requirement in the UK. Licences can be purchased online at tvlicensing.co.uk. If you’re not using any live TV services, no licence is needed, but it’s your responsibility to stay compliant. StudentFM does not cover TV licensing in individual rooms.

Checking Out FAQs

How do I check out?
You can check out by visiting reception or using the StudentFM App to notify us of your planned departure. Please ensure that your room is clean, all belongings are removed, and your keys are returned by the end of your tenancy. A member of our team may carry out a room inspection after your departure, so it’s important to leave the space in the same condition it was when you moved in. Any damage or missing items may be deducted from your deposit.

How can I check out using the StudentFM App?
Simply log into the StudentFM App and navigate to the “Check-Out” section. Follow the prompts to confirm your departure date and time. This allows our team to prepare for your check-out and schedule a final room inspection if needed. Don’t forget to return your keys either in person at reception or using a designated key drop-off point (instructions will be provided in the app and via email before your move-out date).

If I check out in the StudentFM App, what do I do with my keys?
After confirming your departure in the app, you’ll be instructed on how to return your keys. Usually, keys must be handed in at reception or placed in a secure drop box. Please do not leave keys in your room or hand them to another student. Failure to return keys on time may result in a replacement charge, so always double-check you’ve completed this step before leaving the building.

When can I check out of my property?
You can check out any time before or on your tenancy end date. We recommend giving as much notice as possible—especially if you’re using the app—so we can coordinate your check-out smoothly. Remember, even if you leave early, you are still responsible for the rent until the official end of your tenancy. You are welcome to stay until the final day of your agreement, but early notice helps avoid confusion or delays.

 

Can I extend my stay beyond my tenancy end date?
In some cases, it may be possible to extend your stay for a few days or weeks after your tenancy ends, depending on room availability. If you need additional time, contact our bookings team as early as possible to discuss your options. Please note that extensions are subject to additional charges and must be arranged in advance.

Safety & Wellbeing FAQs

Is it safe to live with StudentFM?
Yes, your safety is our top priority. All StudentFM properties are equipped with secure entry systems, CCTV in communal areas, and 24/7 emergency support. Our on-site teams regularly perform health and safety checks, fire drills, and property maintenance to ensure all environments meet high safety standards. Many of our buildings also have on-site management or security presence, providing peace of mind throughout your stay.

How can StudentFM support my mental health and wellbeing?
We understand that student life can be both exciting and challenging. That’s why we provide resources and referrals to support your wellbeing, including access to local mental health services, helplines, and university counselling centres. Our staff are trained to offer initial support and direct you to professional services when needed. We also promote a community environment that encourages social connections and peer support to help reduce isolation and boost wellbeing.

When should I call the Emergency Out Of Hours number?
You should call the emergency number outside of reception hours for urgent issues that cannot wait until morning. This includes serious maintenance problems (e.g. flooding, power outages, broken front doors), fire alarms, or incidents that threaten personal safety or property. For non-emergencies like lost keys or noisy neighbours, please wait until reception opens. If you or someone else is in immediate danger or needs urgent medical help, always call 999 first.

What wellbeing initiatives does StudentFM offer?
Throughout the academic year, we run campaigns and initiatives to promote a balanced lifestyle, including social events, wellbeing check-ins, fitness activities, and access to educational resources about managing stress, sleep, and nutrition. These programmes are designed to help you thrive both academically and personally while creating a supportive living environment.

 

Is the neighbourhood around my building safe?
All StudentFM buildings are located in areas with good transport links, access to amenities, and local police support. We recommend students take the usual safety precautions such as travelling in groups at night, keeping valuables secure, and reporting suspicious activity to local authorities or StudentFM staff. We also work closely with community partners to maintain a secure, welcoming environment for everyone.

Parents & Guardians

I am helping my student move in. Where can I park my car?
On move-in day, we allocate 15-minute time slots for each tenant to check in and unload their belongings. During this time, vehicles can be parked in designated short-stay areas near the property. Our on-site team will direct you to the correct location and assist with unloading if needed. If you require longer parking, we recommend checking nearby public car parks in advance.

What support does StudentFM provide the students living with them?
StudentFM offers a range of support services to ensure students feel safe, settled, and supported throughout their tenancy. This includes 24/7 emergency maintenance, secure key fob access to buildings, high-speed WiFi, and access to our dedicated welfare support team. As a parent, can I stay overnight with my student?
We understand that family support can be especially important during the first few weeks of university life. While occasional overnight stays from a parent or guardian may be permitted, we ask that students seek permission from the property manager in advance. For security and insurance reasons, overnight guests must be registered, and stays are typically limited to 1–2 nights.
